To create a useful draft, settle those facts first, check whether the receiving authority provides a prescribed form, and review the resulting document before signature.

Step 1: Check the recipient's form and the intended role
Start with the destination market, receiving organization, and exact purpose. “Authorize our partner” leaves several questions unanswered: Is the partner submitting an application, receiving correspondence, acting in a defined regulatory role, or distributing products? Record the actions you actually intend to grant.
An official template can change the required structure and wording. For example, Singapore's Health Sciences Authority publishes a GN-15 Annex 1 Letter of Authorisation template with its medical device product registration guidance. Obtain the current file from HSA's medical device guidance page when preparing that application. A general letter from a blog or generator should not displace the authority's applicable form.
Save the source URL, downloaded form, revision, and date checked in your project folder. If your local partner supplies a template, ask them to identify the authority instruction or project requirement it implements. Resolve discrepancies before filling in names and dates.

Letter of authorization, representation letter, or power of attorney?

For example, permission to prepare registration materials should not silently become permission to appoint additional agents or transfer rights. If the project needs those powers, they should be expressly decided and reviewed. If the scope is still being negotiated, keep it marked as unresolved in the source material.
Step 2: Assemble a consistent fact sheet
Gather information from the current company records, product list, agreed scope, and project instructions. Use exact legal entity names rather than a brand or shortened email signature.

A useful action description has a verb, object, and boundary. For example, “prepare and submit registration materials for the models listed in Annex A to [named authority]” is more specific than “handle all regulatory matters.” This is illustrative wording to discuss with the authorizing party, not a recommendation to grant those powers in every project.
Keep commercial terms separate unless the document is intended and reviewed to address them. Pricing, exclusivity, payment, and distribution arrangements should not appear merely because the drafting input mentions a distributor relationship.
Step 3: Build and inspect the Word draft

Use a second pass that follows the document's potential failure points. The following is a working review checklist, not a universal list of legal requirements.

An illustrative scope error would be a brief authorizing models A100 and A110 while the generated letter says “the A-series.” Correct the broader wording and check the annex as well. Another would be a signatory's organization differing from the authorizing entity because a group-company name was copied from an email footer.
Review dates as a connected set. A letter dated today can have a different agreed effective date, but that should be intentional. Do not let a generator select convenient dates simply to make the document look complete.
Step 5: Keep the signed version connected to the source facts
After the required review and execution steps, retain the approved source brief, final editable file, executed copy, referenced annexes, and evidence of any required acceptance or filing in the project record. Mark superseded drafts so a local partner does not reuse an earlier model list.
Assign an owner to monitor expiry and scope changes. A new product model, different legal entity, or revised authority role should trigger a review of whether the existing authorization still describes the project accurately. This is a practical document-control check; the required action depends on the applicable arrangement and market.

Frequently asked questions
Can I use one letter of authorization in every country?
Do not assume a general letter will satisfy every recipient. Check the applicable form, role, product scope, language, and execution instructions for each project. HSA's published template above is one concrete example of a market-specific starting point.
Does a manufacturer authorization letter need notarization or an apostille?
That cannot be determined from the document title alone. Confirm the requirement with the receiving authority's instructions and the qualified reviewer handling the local execution process. The builder can flag the question; it does not perform those steps.
Can the tool fill in missing company facts automatically?
The builder works from the facts you paste. Supply confirmed information, inspect the populated fields, and resolve blanks. Researching a company and establishing signatory authority are separate tasks.
What if I only need a distributor authorization letter?
Define the actual commercial and regulatory actions you want to grant before choosing a template. A distribution relationship does not tell the generator which registration powers, territory, or limits the parties have agreed. Use an expressly reviewed scope for that relationship.
